Reasons preventing e-mail delivery

Effective email delivery is critical to your business. Think about how often you send offers to new customers, or some useful e-mails that need to be answered soon. However, many times our e-mails may end up in the recipient's inbox or even spam. So think about how much business or new business you might have lost because your e-mail didn't get delivered to the end recipient and you didn't know about it, or because it ended up in the spam folder and the recipient didn't see it. In this article, we will look at how you can control and optimize your e-mail delivery so that useful e-mails are not lost because they are not received by the recipient or end up in SPAM.

Use a properly worded subject line.

The main subject of the e-mail is the first factor that affects the spam filter. Use clear and persuasive headlines that don't trigger filter reactions. Avoid writing in capital letters and also avoid keywords that may be cut by the filters of e-mail providers such as: Payment, ebanking, invoice, order form, account details, password, offer, viagra, cialis etc. Never put links in the subject line of your e-mail and never put the word Newsletter or newsletter in the subject line.

Customization of Content.

Make sure the content of your e-mail is useful and relevant to the recipients. Filtering systems are more likely to classify e-mails with unclear or suspicious content as spam. Avoid lots of hyperlinks, blacklisted domains, bank accounts, encrypted messages, large number of photos and of course executable or zip file attachments. Also avoid sending mass e-mails to more than 10 recipients at once. Better send them in separate e-mails. You can also put the main recipient and if the message also concerns others, add them as CC (Carbon Copy) or BCC (Blind Carbon Copy). Your text should not be long. It is recommended to write the name of the recipient you are addressing, e.g. Dear Mr. Papadopoule. It would also be good to write your digital signature at the end of the message, e.g. Sincerely, Giannis K. Finally in the e-mail footer, if you send an advertising e-mail or newsletter you should ALWAYS have an unsubscribe link from the frequent updates. E.g. If you wish to unsubscribe from our company's list of frequent updates, click here.

Verify SPF, DKIM and DMARC Settings.

Make sure you have properly installed SPF (Sender Policy Framework), DKIM (DomainKeys Identified Mail) and DMARC (Domain-based Message Authentication, Reporting, and Conformance) settings in your domain settings and DNS settings. These settings help to identify trusted e-mails from recipients. If you do not have any of the above settings, the recipient may either not accept your e-mail or consider your domain as low-reputation and end up in spam/SPAM.

Place frequently used links in the text.

Using frequently used links in the text of the e-mail can help categorize it as safe. Spam filters may estimate the usage habit of these links.

Check delivery statistics in Google Analytics.

Checking Mail Client settings

Check again the settings of your mail client and additionally of the hosting server of your website connected to your e-mail. Have you gone through all the settings correctly? Has an SSL certificate been installed on your website and e-mails? Have the outgoing mail settings been made correctly?

Check if your domain is blacklisted or has a low reputation

Many times our domain or the IP of the server hosting our website is blacklisted or has a low reputation. If this is the case, the recipients or some of our recipients will not receive our e-mails.
